Meeting One: 12 Months Out — Building the Foundation
Our first planning meeting typically happens about 12 months before your wedding day. This is what we call our Discovery Meeting.
At this stage, many couples are just beginning their planning journey. Some have lots of ideas, while others are still figuring out what they want their day to feel like—and that’s perfectly okay.
During this meeting, we:
Learn about you as a couple
Listen to your ideas, priorities, and vision
Talk through early plans or inspiration you’ve gathered

Meeting Two: 3–4 Months Out — Creating the Timeline & Bringing the Vision to Life
Our second planning meeting takes place three to four months before the wedding. This is one of the most important steps in the process.
By this point, many major decisions are starting to come together, and it’s time to build a working wedding timeline—often before invitations are sent.
In this meeting, we:
Establish a realistic wedding day timeline
Dive deeper into the flow of the reception
Discuss specific moments, traditions, and transitions
Address any challenges or areas where you may feel stuck
This is where your vision really starts to come to life. We help make sure your day flows naturally, feels un-rushed, and supports the experience you want for your guests.

Meeting Three: 1 Month Out — Finalizing Every Detail
The final planning meeting happens one month before your wedding day.
This meeting is all about finalizing details and ensuring we are fully aligned with your expectations.
During this meeting, we:
Lock in the final wedding timeline
Review song selections and key musical moments
Go over reception flow and special events
Confirm details that significantly impact the guest experience
Meeting a full month in advance gives us the time needed to prepare your music, coordinate with other vendors, and identify any potential timeline issues early.
That means you’re not scrambling during the final week of your wedding—everything has already been carefully planned.
